Coordinating the marketing support team, overseeing processes with paperwork, logistics. Work on planning, budget tracking, filing of reserves. Coordination of event management, planning, execution, reporting. Implementation of new processes, optimization and automation.
Responsibilities:
- Business processes alignment in a single key vision for KOL management, collecting initiatives from marketing and building new approaches based on the suggestions, improving communication between departments to accelerate task resolution. Also: manage and improve booking processes for marketing and KOL's; coordinate and improve the reporting system for events and KOL's fees (building a monitoring system from event contracting to reporting and fee payment date).
- Building the budgeting process for the marketing department. Planning timelines, controlling on a monthly basis of expenditures, timeliness of submitting data on expenditures made and submitting data on reserves. Creating a model in conjunction with Finance, Procurement and Marketing that shows actual spend to date. Collaboration between departments is one of the functions that will ensure the quality of budgeting of the marketing department.
- Updating the event planning process, building a model of interaction between event agencies, marketing, KOL's. Control over timely submission of agreed events to the event coordination system and provision of reporting documents on the events held. Analyzing the effectiveness of the conducted events. Searching for new service providers and finding best practices in the pharmaceutical market.
- Analyze current processes, dive into details, understand current complexities, create process improvement project teams, develop new operating models, implement initiatives.
Experience & Skills:
- High degree;
- Excellent work in Microsoft Excel;
- Knowledge of working in SAP and budgeting process preferably;
- Project and People Management. People leadership.
- English – upper-intermediate/advanced;
- Analytical mindset. The ability to work with large amounts of information, systemic thinking;
- Strong attention to detail and accuracy. Organized – has clear systems and composure to deal with multiple tasks at once and ensure everything gets done in a timely manner;
- Relationship-oriented – able to develop effective working relationships with colleagues across the organization;
- Team player – always willing to put the work in, will go above and beyond in order to get the job done;
- Self-motivated – takes initiative and is able to work independently and organise processes.
